Refund & Cancellation Policy
Last Updated: September 2026
VisaWay Consultancy aims to maintain transparent and fair arrangements regarding professional fees, cancellations and refunds.
This policy applies to professional service fees paid directly to VisaWay Consultancy unless different terms have been expressly agreed in writing with a client.
Third-party fees are governed separately as explained below.
1. Consultation and Assessment Fees
Fees paid for consultations, profile assessments or other services that have already been delivered are generally non-refundable once the consultation or assessment has been completed.
If VisaWay cancels a paid consultation before it takes place and an alternative appointment cannot be agreed, the applicable consultation fee may be refunded.
2. Cancellation Before Work Begins
If a client cancels a service before VisaWay has commenced substantive work, the client may request a refund of the professional service fee paid, subject to any clearly disclosed registration, consultation or administrative fee that has already been earned.
3. Cancellation After Work Has Started
Once VisaWay has begun providing the agreed service, fees relating to work already performed are generally non-refundable.
Depending on the service package and circumstances, any genuinely unearned portion of the professional fee may be considered in accordance with the client's Service Agreement and applicable law.
4. After an Application Has Been Prepared or Submitted
Where VisaWay has completed substantial work on an application—including research, document preparation, application completion or submission—the professional fee attributable to that stage is considered earned and is generally non-refundable.
This may apply even if the client later decides not to continue with subsequent stages.
5. University Admission Decisions
A university or college rejection does not automatically entitle the client to a refund of VisaWay's professional fees where the agreed application services have been performed.
Admission decisions are made independently by the relevant educational institution.
6. Scholarship Decisions
An unsuccessful scholarship application does not automatically create a right to a refund where VisaWay has completed the agreed scholarship research or application-support services.
Scholarship decisions are made by the relevant university, government or funding organization.
7. Visa Refusal
A visa refusal does not automatically entitle the client to a refund of VisaWay's professional service fees where the agreed visa-application services have been performed.
Visa decisions are made solely by the relevant immigration authority, embassy, consulate or other competent government body.
8. International Job Assistance
VisaWay charges for agreed professional services such as:
- profile assessment;
- international vacancy research;
- CV preparation;
- cover letters;
- job applications;
- employer research/outreach; and
- interview preparation.
Payment is for these professional services and not for a guaranteed employment result.
Failure to obtain an interview, job offer, sponsorship or work visa does not automatically entitle the client to a refund where VisaWay has performed the agreed services.
9. Third-Party Fees
Unless expressly stated otherwise, VisaWay's professional fee is separate from payments made to third parties.
Examples include:
- university application fees;
- tuition deposits;
- visa application fees;
- SEVIS fees;
- biometric charges;
- medical examination costs;
- credential-evaluation fees;
- testing fees;
- translations;
- insurance;
- courier charges; and
- other government or institutional charges.
Refunds of third-party payments are governed by the policies of the organization receiving the money.
VisaWay cannot refund money that was paid directly to, or has become non-refundable with, a third party.
10. Client Delays or Failure to Cooperate
Clients are responsible for providing requested information and documentation within reasonable or required deadlines.
Where an application cannot proceed because a client fails to provide necessary documents, information, payment or authorization, fees relating to work already completed remain payable and are generally non-refundable.
11. False or Misleading Information
VisaWay Consultancy does not knowingly support fraudulent applications or documentation.
If a client provides fabricated, altered or materially misleading information or asks VisaWay to misrepresent facts, VisaWay may decline to proceed or terminate the service.
Any refund consideration in such circumstances will depend on work already performed, applicable contractual terms and applicable law.
12. Cancellation by VisaWay
If VisaWay cancels a service for reasons unrelated to client misconduct and before completing the contracted work, any genuinely unearned portion of the VisaWay professional fee should be assessed and handled in accordance with the Service Agreement and applicable law.
13. Change of Destination or Service
If a client changes their intended country, programme, visa category or service after substantial work has already been completed, additional professional fees may apply.
Fees already earned for completed work are not automatically transferable to a new case or service.
VisaWay should inform the client of any additional charges before commencing substantial new work.
14. Refund Requests
Refund requests should be submitted in writing to:
The request should include:
- client's full name;
- service purchased;
- payment details;
- reason for requesting a refund; and
- relevant supporting information.
VisaWay should review the request against the agreed service scope, work already completed, payments made and applicable contractual terms.
15. Processing of Approved Refunds
Where a refund is approved, VisaWay should communicate the approved amount and intended payment method to the client.
Any applicable banking or payment-processing considerations should be explained before processing where relevant and lawful.
16. Service Agreement
For paid consultancy cases, the client's signed Service Agreement may contain case-specific payment and refund provisions.
Where appropriate and legally permissible, those specific written terms should govern the particular engagement.
